Last updated: 25 February 2025Registration for one of the services offered by X-Plorers, as described in our offer, implies full and complete acceptance of our General Terms and Conditions of Sale (GTCS) as well as the special conditions specific to X-Plorers SAS.
1. Special conditions
X-Plorers makes every effort to ensure that the services offered run smoothly. However, the dates and times indicated in our programmes are subject to change. The organiser cannot be held responsible for participants being late or arriving after the departure time indicated on the programme.
2. Services not included in our prices
The following services are not included in our rates:
• Services not specified in the program.
• Pre- and post-transportation required to reach the meeting points.
• Changes or improvements made to the program at the client’s request.
• Personal expenses, such as laundry, minibar, telephone, television, etc.
3. Miscellaneous information
• Intra-Community travel: A valid identity document is required.
• Non-EU travel: Foreign nationals must comply with the consular formalities of their destination country. In the event of administrative non-compliance, the airline may refuse boarding. X-Plorers cannot be held responsible for the consequences, and the amount of the package will not be reimbursed under any circumstances.
4. Registration and payment conditions
• Entries: Entries are registered in the order in which they are received.
• Deposit : A deposit representing 50% of the total amount including tax of the service (if it exceeds 600€ including tax) is required to validate the registration. Registration will be confirmed on receipt of the deposit.
• Balance: The balance of the total amount including VAT for the service must be paid 30 days before the service, after receipt of our request for payment.
• Accepted payment methods: You can make your payment by credit card (secure module via Revolut), bank transfer.
• Extras: Any additional costs will be invoiced after the service has been provided.
5. Cancellation policy
By the client:
• Up to 60 days before the service: A €250 excess per person will be retained by X-Plorers. Validated transport tickets or services purchased will be refunded according to the service provider’s terms and conditions.
• Up to 30 days before the event: the deposit paid remains the property of X-Plorers.
• Up to 15 days before the performance: 80% of the total amount including VAT of the services will be retained by X-Plorers.
• Less than 15 days before the date of the service: 100% of the total amount, including VAT, will be due and will be retained by X-Plorers.
By the supplier:
If the payment terms are not met, X-Plorers reserves the right to cancel the order, following the cancellation conditions mentioned above. In the event of cancellation by X-Plorers, we undertake to offer an alternative program, where possible, but decline all liability in the event of changes or cancellations beyond our control.
6. Insurance
• Civil liability insurance: X-Plorers has taken out professional civil liability insurance (contract no. C-QO-6756A553179D8) with the insurer STELLO.
• Personal insurance: X-Plorers recommends that all participants take out insurance covering outdoor sports. Specific insurance solutions (Impact Multisports or Evasion Multirisque) can be offered in addition.
7. Force majeure
In the event of force majeure, X-Plorers will be exonerated from all liability towards the customer. Force majeure events include unforeseeable and unavoidable situations such as natural disasters, strikes, conflicts, or any other event beyond the reasonable control of the organiser.
8. Dispute
Any complaint relating to the service must be sent by registered letter to the following address: X-Plorers, Saint-Roch, La Place 20 Rue Jean Jaurès 73350 Bozel, within a maximum of 10 days after the end of the service concerned.
9. Jurisdiction
In the event of a dispute, only the competent court in Chambéry (France) will have jurisdiction. However, by virtue of the applicable legislation, the consumer may also assert his rights in his country of residence.
10. Protection of personal data (GDPR)
X-Plorers undertakes to respect the confidentiality of its customers’ personal information in accordance with the General Data Protection Regulation (GDPR). Personal data collected as part of the booking and management of services will be used solely to process orders and manage the services offered.
• Types of data collected: We collect the information required to manage your registration, such as your surname, first name, address, telephone number, email address and payment details.
• Use of data: This information is used exclusively to process your orders, send out confirmations and ensure better management of our services.
• Data retention : Your personal data will be kept for as long as is necessary for the performance of the services, and for the purposes of legal and administrative compliance.
• User rights: In accordance with the GDPR, you have the right to access, rectify, delete your personal data, as well as the right to object to their processing or request their portability. • Data security : X-Plorers takes the necessary measures to guarantee the security of your personal data against any form of unauthorised disclosure, modification or destruction.
